Create and Maintain Skillsets
A skillset is a logical grouping of Training Items. You can create many skillsets with different learning objectives, and use them to create learners' curriculums.
Below are the guidelines for Skillsets
- The permission needed to create, manage or delete a skillset is LMS admin at the company or division level.
- A new skillset can be created at the division or company level.
- A skillset allows you to add a number of Training Items simultaneously to a learner's curriculum. It also reduces curriculum maintenance efforts by not requiring you to edit each learner's curriculum individually when training requirements change. When you change a skillset, the curriculum changes for all learners who are assigned that skillset.
-
Skillsets also allow you to stagger training, using Period Due from Assignment on the skillset component form. The period due from assignment is the number of months after the curriculum due date when the Training Item is due. For example, you can create a "New employee training" skillset with 12 Training Items, with period due from assignment from 1 to 12.
- Any component of a skillset can be designated as Mandatory or Optional. Mandatory and optional training is assigned separately on learners' desktops, and can have different e-mail notification frequency.
When creating a new skillset:
- Skillset Title: Use a title so that you can recognize its function when searching for this skillset from other forms.
- Share with Other Divisions: When checked, other Division administrators can see this skillset and add to the curriculum of their employees. This is not very common.
- Automatically Assign to New and Transferred People:
- If checked, the skillset is assigned automatically to all new and transferred people, with a due date of one month from the date people are added to the Division. Other characteristics of such skillsets:
- Such skillsets cannot be components of any job
- If you check this box for an existing skillset, Frontline will not assign it automatically to existing people. You must do this task manually by clicking the People tab and adding all existing people.
- You cannot check "View Public" for any such skillset (i.e. these cannot be shared).
- Such skillsets cannot be Company-wide. A Company admin must select a Division if creating such a skillset at Company level.
- The buttons on the upper right allow you to copy, delete or edit and update the selected skillset. The New button on the list view or the form view allows you to create a new skillset.
When managing a skillset:
- The Components tab: displays the Skillset Components, which allows you to manage the components (training items) that are part of the selected skillset and various factors that affect the due dates for these training items.
- You can add (delete) training item components to (from) a selected skillset in this view. The Change button shows all active training item components of the skillset in one form.
- It allows you to make training items mandatory and change their due dates, retest periods or periods due from assignment simultaneously. The Test Remediation flag (not commonly used) allows the learner to remediate while testing. This form makes it convenient to manage the factors that affect assignment due dates.
- If you want to see all the training items that are in the selected skillset in a table view, select Change.
- The People tab: lists the learners who have been directly assigned the selected skillset.
- People with the skillset in their curriculum are listed in the table on the left. For a selected person, you may edit the due date, attempts allowed, and activate/inactivate skillset in the person's curriculum using form on the right. Clicking New takes you to this form, which allows to you add the skillset to one or more learners' curriculums.
- This form is identical to the form accessed using People > People Information > Curriculum tab that allows you to create curriculum for a selected learner.
- The Jobs tab: lists the jobs that contain the selected skillset.
- The jobs that contain the skillset are shown on the left and the details for the selected job are shown on the right. The Components link on the right displays all components of the job selected on the left. The People link shows people who have been assigned the selected job. You can add (delete) the selected skillset to (from) a job in this view.
- Best Practices for Skillsets:
- Create generic skillsets such as "All Employees training" or "Basic Safety training" and make them components of all jobs. These skillsets can contain public library courses and can automatically handle your routine, recurring training.
- Use Curriculum > Skillsets to set up refresher training, using either the initial training content or new training content for the refresher.
How to Create a Skillset
- Select Curriculum > Skillsets
- Select New.
- Enter the skillset Title and skillset Code.
- It is important to follow the naming conventions for skillsets in the division where you are creating the skillset.
- Enter the optional fields of Description, Key Words and Notes, if desired.
- Optional - Check Share with Other Divisions if this skillset is going to be shared between divisions (not common).
- Optional - Check Automatically Assign to New & Transferred People if you want this skillset assigned automatically to any new or transferred people with a due date of one month from the date people are added to the division.
- Select Save.
Upon saving, Frontline will append "Div:" as prefix to this skillset, for easy identification of such skillsets.
How to Add Training Items to a Skillset
Training items can be added to a skillset at the division or company level. Before you can add a training item to a skillset, the skillset must exist. Create a Skillset, if one does not already exist.
When you add a training item to a skillset that is already in a learner's curriculum, that training item is immediately added to the learner's assignments.
Add One or More Training Items to One Skillset
- Select Curriculum > Skillsets
- Find the skillset to which you want to add training items as components.
- Select the Components tab.
- Select New.
- Select either the Division where you want to search (if you are at company level), or click Company Library or Public Library to search the libraries.
- Enter the Training Item title, Item Code, Item Type, Competency Type and/or Subject Area as search criteria. You may use % as a wildcard.
- Select Search.
- Select the box next to the training items you wish to select.
- A default Due Date of one month in the future is selected on the left. Complete fields Retest Period, Period Due from Assignment, and Enforce, if desired. If the training item selected is optional, uncheck Mandatory.
- These field values apply to all the training item(s) selected. They are critical in managing learners' curriculums. If you selected more than one training item, and want different values for the selected training items, do not enter any values here.
- Select Save.
Option 2 - Add One Training Item to Multiple Skillsets
This procedure is a very convenient method to assign a new training item to learners as soon as you have created it:
- Select Curriculum > Training Items
- Find the training item that you wish to add to skillsets as a component. If you have just created a new training item, you may already be on the desired training item.
- Select the Skillsets tab.
- Select New.
- Enter the Skillset title and/or Skillset Code as search criteria. You may use % as a wildcard.
- Select the Division where you want to search (if at company level).
- Select Search.
- Click the box next to the skillsets you wish to select.
- A default Due Date of one month in the future is selected on the left. Complete fields Retest Period, Period Due from Assignment, and Enforce, if desired. If this is an optional training item, uncheck Mandatory.
- These fields apply to all the skillset(s) selected. They are critical in managing learners' curriculums. If you selected more than one skillset, and want different values for the selected skillsets, do not enter any values
- Select Save.
