Create and Maintain Awaiting Interest Classes

Any learner can express interest in a class created with an Awaiting Interest status, regardless of their curriculum.

Below are the Guidelines for Awaiting Interest Classes

  • Similar to Open classes, an Awaiting Interest class must be attached to an ILT training item; which provides the assignment and record keeping functionality.

  • An ILT training item may have more than one class attached to it. For example, if you have the same class offered at three different times to accommodate different work schedules, you will have one ILT training item and three classes.
  • The following examples explain the relationship between an ILT training item and classes:

Training Item: "Annual Hazwoper Refresher".

Class Names: "2014 Annual Hazwoper Refresher", "2015 Annual Hazwoper Refresher", "2016 Annual Hazwoper Refresher", and so on.

    • OR

Training Item: "Respiratory Fit Test".

Class Names: "Respiratory Fit Test - Day Shift", "Respiratory Fit Test - Evening Shift", "Respiratory Fit Test - Night Shift", and so on.

  • When you create a new class, Frontline gives you a choice to create a new training item or attach the new class to an existing training item. You should create a new training item only if you are sure that the training item does not exist from similar classes held in the past.

    • In case of example above, do not create a new training item for the class "2017 Annual Hazwoper Refresher"; instead attach it to the same "Annual Hazwoper Refresher" training item. This way all records for this training, no matter which class they come from, remain together.

Below are the key fields on the Classes > Awaiting Interest list View.

  • Class Name: Uniquely identifies the class created for a training item.
  • Training Item: The ILT-type training item for which the class is created. When the training item is added to a learner's curriculum, the classes created for it are displayed to the learner.
  • Item Code: Training item code
  • Status: Classes > Awaiting Interest can have a status of "Awaiting Interest".
  • Date Created: Date the class was created in Frontline
  • Class Notification E-mails: if you want learners and their supervisors to receive e-mails about the class.
  • Allow Self Enrollment: Enter Enrollment Start Date, Enrollment End Date of the class if you want to allow learners to enroll themselves in the class.
  • Supervisor's Approval Required: if you want enrollment to require a supervisor's Approval.
  • Credit Via Key: if you wish to use the Credit Via Key option
  • Survey: if you wish to use a survey.
  • Certificate: if you wish to allow learners to print certificates of attendance
  • Instructors: if you do not want the application to schedule instructors, you can use this field to enter the instructor's name. The names will be displayed to learners on the Class Registration page
    • If you want Frontline to schedule instructors, use the Instructors tab.
  • Materials: Any material(s) needed to for the class (e.g. SCBA or laptop) is displayed to learners on the Class Registration page
  • Maximum enrollment: number of learners who can attend.
  • Minimum enrollment: number of learners needed to host the class.

How to Create an Awaiting Interest Class

  1. Navigate to LMS > Classes > Awaiting Interest
  2. Select New
  3. Does a training item exist for the class you want to create? (Right-side of the form)
    1. If Yes, search and then select the training item.
    2. If No, create a training item.
  4. Enter the Class Name
  5. Enter in a Location of the class, this information is displayed to learners on the Class Registration page.

  6. Enter in an Enrollment Start and End Date
  7. Enter in a Last Date to Withdraw
  8. Click Save.
As soon as you Save the class it is immediately viewable to the learners through their Frontline Desktop Quick Links > Show Interest in Classes link.

How to Update an Awaiting Interest Class to an Open Class

Once either the minimum enrollment requirements have been met or the amount of learners that have expressed interest in an class is enough to offer the class, an administrator can change the status of the class to Open. 

After the class has been updated with a status of Open, the administrator can create dates, add records and view the waiting list for the class.

  1. Navigate to LMS > Classes > Awaiting Interest 
  2. Find and select the title of the class to change the status to Open.
  3. In the Details tab of the selected class, navigate to the Status drop down field in the Class Information section.
  4. Select Open from the Status drop down.
  5. The Enrollment Start Date field is now mandatory, select a date.
  6. Check Allow Withdrawal if you wish to let learners withdrawal from the class once enrolled.
  7. The Last Date to Withdraw field is now visible. If using the Allow Withdrawal feature, select a date as the last date for learners to withdrawal themselves from the class.
  8. Select Update.

The class will be moved to the Classes > Open folder, where the administrator can continue updating the additional tabs (Dates, Waiting List, and Records) for the class.
