Reassign ACT Tasks

The Reassign ACT Tasks Setting allows an ACT power user or super user to permanently reassign one or more ACT tasks and/or roles to different people.

Below are the Guidelines for Reassigning ACT Tasks

  • This is typically used when the assigned person is no longer with the company or has moved to a different position in the company.
  • Tasks refer to in process ACT event tasks (team leader, collaborator and Approver) and action item tasks (assigned to, verifier and responsible).
  • When tasks are reassigned, the module scans all tasks and roles for the selected person and highlights only the ones which are applicable.
  • Roles show the person's inclusion in event forms, event shortcut team leader and route nodes. Such roles can result in future tasks, unless these are reassigned using this element.
  • All tasks and roles to a new person may be reassigned, or only the selected items. By repeating the process, power users can reassign existing tasks and roles from one person to multiple people and over time, if desired.
  • All reassignment of tasks are stored and accessible using View History; this makes it convenient to track reassignments to multiple people and over time.

Using the Reassign task function permanently reassigns a user's tasks. This cannot be undone. 

To temporarily transfer ACT task to another person, use the Agent list setting.

How to Reassign ACT Tasks

  1. Navigate to ACT > Settings > Reassign ACT Tasks
  2. Enter the first few characters of the Existing Assignee's last name then select the user from the drop-down search results.
  3. Enter the first few characters of the New Assignee's last name and select the user from the drop-down search results.
  4. Select Next to move onto Step two.
  5. In the In-Process Events, In-Process Action Items, Event Forms and Other sections, select the active checkboxes next to the tasks that need to be assigned to the new assignee.
  6. Enter a reason for reassigning the task in the Reason for Change comment box to be stored in the task reassignment history.
  7. Select Reassign Tasks to complete the reassignments).

If reassigning tasks in batches, review tasks that have already been transferred select View History.

If a checkbox is dithered (grayed out), the existing assignee does not have any tasks that apply to that checkbox, therefore, it cannot be selected to be transferred.
