Email Notifications
The ACT module has an e-mail notification feature that promotes the timely progression and completion of Event and Action Items.
There are five types of ACT e-mail notifications:
- Routine E-mail Notifications
- Summary E-mail Notifications
- Action Item E-mail Reminders
- Instantaneous E-mail Notifications
- Administrative Reminders
- Send Event Notices
About Routine E-mail Notifications
Routine e-mail notifications include separate tables for new event and action item tasks, voided events and action items, and event or action item status. If there are no events or action items to report in the tables then the table will not be listed.
About Summary E-mail Notifications
This notification is sent out on a routine basis, usually once a month, but the timing can be adjusted. It includes the following information in separate tables:
If there is no data to report in a table, then that table will not be listed. Typically, most people will only see the action items table because people generally have action items on their Frontline desktops.
About Action Item E-mail Notifications
These are periodic e-mail notifications that remind people of incomplete action items. They are configured by an ACT administrator (power user) using Settings > E-mail. The administrator can control the frequency of the notifications and to whom they are sent.
About ACT Instantaneous E-mail Notifications
ACT instantaneous e-mail notifications are sent out immediately either manually or automatically, unlike the other e-mail notifications which are sent based on a scheduled batch job.
Instant e-mails are also sent automatically by ACT module in following situations:
When an event is submitted (reported) using event shortcut from the Frontline desktop shortcuts tab, an immediate e-mail is sent to the team leader and collaborators (if any) or approvers (if any) receiving the event on their Frontline desktop events tab.
About Administrative E-mail Reminder
Administrative reminder e-mails are sent once per month to power users in following situations.
To ensure the smooth functioning of the ACT module, find the element referred to in the e-mail and correct the issue reported. You can also reassign incorrectly assigned ACT tasks.
About Send Event Notices
The Send Event Notices feature can be used to notify anyone impacted by the event and can only be sent out once per event. Anyone sent an event notice will be required to review the event summary and acknowledge the event by signing-off from their Frontline desktop Training tab. This feature is useful to help people learn from the event or to communicate complete events such as audits or deficiencies found.
