Send Notice
The Send Notice implementation requirement notifies anyone impacted by an MOC of the change being made. Once completed by the Implementer, it generates a training assignment for each notified person using the MOC Summary as the learning content. Recipients must review and sign off on the MOC Summary to confirm they have been notified of the change.
Key Features
Critical vs. Non-Critical
- Send Notice can be set up as a Critical or Non-Critical requirement. Setting it as Critical is recommended.
- If set as Critical, it can only be completed after all lower-order Critical requirements are finished.
- The MOC cannot move to Startup until Send Notice is complete.
- The MOC cannot be closed out until all sign-offs have been received.
Notifying People
- Notices can be sent by Skillset and/or by individual name.
- If skillsets are configured in your division, sending by skillset is recommended — it automatically includes everyone assigned to that skillset without having to select people individually for every notice.
Prerequisites
- A prerequisite training item can be attached to a Send Notice requirement.
- When a prerequisite is attached, the recipient must complete that training before they are allowed to view the MOC Summary and sign off.
- Example: A web-based course (WBT), classroom training (ILT), or procedure (DOC) can be set as a prerequisite so that people are trained on the change before signing off.
Note: Only one prerequisite can be added per MOC notification.
Send Second Notice
- An optional Send Second Notice implementation requirement can be added to an MOC if a second round of notification is needed.
- When recipients sign off on a Send Second Notice, comments entered by the Implementer are displayed above the sign-off link, explaining why a second notice was sent.
Tracking Sign-Offs
- Upon sign-off, a completion record is written and the assignment is removed from the learner's Frontline Desktop.
- Learners can re-review past sign-offs at any time via the MOC Sign-offs link in the Quick Links section of their Frontline Desktop. This is particularly useful when process documentation has not yet been updated before startup.
- The Originator or an MOC Power User can continue to add people to the Send Notice after it has been completed, up until the MOC is fully closed out.
What Happens After Send Notice is Complete
- If there are additional Critical requirements to complete, the MOC moves to the next implementation task.
- If Send Notice is the last Critical requirement, the MOC moves to the Implementation Manager's desktop as a Startup task.
- If Send Notice is the last Non-Critical requirement and the MOC has already been started up, the MOC moves to the Originator's desktop as a Complete (close-out) task.
How to Complete a Send Notice Requirement
- From your Frontline Desktop, select the MOC title awaiting Send Notice action under the MOC tab.
- Click the Send Notice link in the Action column.
- Select the people to notify:
- By Skillset – Click Add Skillsets and select the appropriate skillsets by clicking the green + icon next to each. Click Select All to add all skillsets in the list. Close the window when finished.
- By Name – Click Add People and select individuals by clicking the green + icon next to each. Click Select All to add everyone in the list. Close the window when finished.
- To review the final list of people selected, click the link provided on the screen.
- If a prerequisite is required, click Select Prerequisites, enter your search criteria, select the prerequisite, and click OK.
- Enter a Due Date and click Send Notice.
Tip: When choosing a due date, allow at least 7 days to ensure people receive their email notification with enough time to complete the sign-off.
The MOC Notification screen will display, listing all learners who have been notified and showing the name of the newly created MOC training item. To send an immediate email notification, click Send E-mail. To add additional learners from this screen, click Add Learners.
How to Add People to an Already-Sent Send Notice
From the MOC Summary:
- Click the "Notice sent to affected employees" comment link on the Send Notice requirement.
- Click Add Learners.
- Click Add Additional People.
- Click the + icon to select the people to add.
- Click Save New Learners, then click Close.
From the Send Notice Requirement (MOC Power Users, Originators, and Implementation Managers):
- Navigate to the Implementation tab on the MOC.
- Select the Send Notice requirement and click View.
- Click Add Learners.
- Click Add Additional People.
- Click the + icon to select the people to add.
- Click Save New Learners, then click Close.
From the Send Notice Training Item (LMS Admins at Company or Division level):
- Navigate to Curriculum > Training Items in the LMS module.
- Search for the MOC Send Notice training item.
- Select the People tab and click New.
- Select the new learners and click Save.
Note: If the Send Notice was assigned via a skillset, navigate to Curriculum > Skillsets instead of Training Items, then search for the skillset used. Adding a learner to a skillset will assign all components within that skillset to the learner.
How to Remove People from an Already-Sent Send Notice
Note: LMS Admin permissions at the Company or Division level are required to remove individuals.
- Navigate to Curriculum > Training Items in the LMS module.
- Search for the MOC Send Notice training item.
- Select the People tab.
- Select the individual to be removed and click Delete.
- Click Save.
Note: Removing a learner from a skillset will also remove their assignments for all other components within that skillset.
