Pre-Approval Stage
Any MOC created by a user through an MOC Pre-Approval desktop shortcut will be submitted to a mandatory Pre-Approval stage.
Key Features
Assigning
-
Once an MOC is submitted through a Pre-Approval shortcut, the Pre-Approvers designated for the shortcut are assigned a Pre-Approval task to their Frontline Desktop MOC tab and notified by e-mail.
Approval Requirements
- By default, a minimum of one Pre-Approver must approve an MOC request for it to be considered approved.
- If the Pre-Approval form has Require all Pre-Approvers to Approve selected, then all Pre-Approvers must approve before the MOC moves forward.
Disapproval
- Any MOC request that is disapproved is immediately moved to the Voided folder.
- The user who submitted the MOC request is notified by email.
MOC Originator
- Any Pre-Approver can select an MOC Originator.
- The Originator selected by the last Pre-Approver becomes the official Originator for the MOC and is notified by email.
- The MOC will appear in MOC > In Process in the New Stage for the Originator to review and edit if necessary.
- The Originator must have MOC User or MOC Power User permissions to edit the MOC.
Making Changes During Pre-Approval
- A Power User can add additional Pre-Approvers after those who have already Pre-Approved the MOC.
- If Return to Submitter is selected, the MOC request is sent back to the original submitter to be modified and resubmitted.
Pre-Approval Records
- Any MOC that has been Pre-Approved stores the original Pre-Approval request in the Pre-Approvers tab. This record is not editable.
- The MOC Summary will display the Pre-Approval details.
Tracking
- Pre-Approvers can monitor the status of MOCs they have Pre-Approved via the MOC Participation link in the Quick Links section of their Frontline Desktop.
- Users who submitted MOC requests can track their status via the MOCs Submitted link in the Quick Links section of their Frontline Desktop.
How to Pre-Approve an MOC
- From your Frontline Desktop, select the MOC title under the MOC tab.
- Click View MOC Summary and review it carefully before taking action. Select any attachment links to view relevant information.
- Click Close to exit the summary.
- Click Take Action to Approve, Disapprove, or Return to Submitter.
- Answer the following questions to determine the outcome:
- Is this a Replacement-in-Kind?
- MOC not needed for other reasons?
- If Yes is selected for either question, the MOC will be disapproved and a reason is required in the Comments field.
- If No is selected for both questions, the MOC will be approved and comments are optional.
- Review the Originator and change if necessary. To change, clear the current name, begin typing the new Originator's last name, then click the ellipses to select from the displayed list.
- Enter any comments in the Comments field to guide the Originator about the MOC request.
- Click OK.
- Click the Frontline Desktop icon to return to your desktop.
Once completed, the MOC will be removed from your MOC tab. If it was your only assigned MOC task, the MOC tab will no longer appear on your Frontline Desktop.
