Using Videos as Learning Content

What to Consider Before Adding Video

Before adding video as learning content in the LMS Module, there are two key factors to keep in mind:

1. File Size
Since the LMS is a web-based application, keeping video file sizes small improves the learner experience. Large files are more prone to resolution and buffering issues, while smaller, well-compressed files stream more smoothly and are more likely to keep learners engaged.

2. File Format
File size can vary significantly between formats depending on the compression method used. Videos with fast movement or visually complex content tend to produce larger files that are harder to compress without sacrificing quality. The last 3–4 letters of a video file's name indicate its format (e.g., .mp4).


How to Add Video as Learning Content

There are three methods for delivering video in the LMS:

  • Method 1: Computer-Based Training (CBT) Item
  • Method 2: Lesson with video-containing cells (YouTube, Vimeo, MP4, or Microsoft Stream)
  • Method 3: Audio/Visual Training Item

About Vimeo: Vimeo is a free video hosting and sharing platform. Free accounts allow up to 2 video uploads per month, for a maximum of 25 videos total. Once uploaded, you can copy the video's URL and add it directly to Frontline training (see the URL Procedure below).


Method 1: Computer-Based Training (CBT) Item

  1. Go to Curriculum > Training Item and create a CBT-type training item with a URL that references the video file.
  2. File size guidelines:
    • Videos under 380 MB can be uploaded directly to the Frontline server.
    • Videos over 380 MB must be hosted on a file share, YouTube, or Vimeo instead.

Completion tracking:

  • If no test is attached, the completion record will simply show "View" as the result.
  • If a test is attached, a Pass/Fail record is kept instead.

The video will open in its native application or browser window.


Method 2: Create a Lesson with Video-Containing Cells

This method allows you to combine multiple videos with embedded questions, or use video hosted on sites like YouTube.

MP4 Procedure (Uploading a Video File Directly)
  1. Select the Add Cell icon from the toolbar.
  2. Choose where the cell should go:
    • First cell in a topic? Select the topic.
    • Not the first cell? Select the cell below which the new cell should be added.
  3. Select Cell: Add on the Action toolbar, then click Next.
  4. Delete the placeholder "Enter Cell Content Here" text.
  5. Enter the video title or any other relevant text.
  6. Open Media Manager, then click Upload.
  7. Click Select, then browse your computer to choose the video file.

    Note: Maximum file size is 85 MB. Larger files must be added via URL instead (see below).

  8. Select the uploaded file and click Insert.
URL Procedure (YouTube, Vimeo, or Microsoft Stream)
  1. Select the Add Cell icon from the toolbar.
  2. Choose where the cell should go:
    • First cell in a topic? Select the topic.
    • Not the first cell? Select the cell below which the new cell should be added.
  3. Select Cell: Add on the Action toolbar.
  4. Change the Cell Type if needed — use Display Cell for video content.
  5. Click Next.

For YouTube or Vimeo:

  1. Click Insert External Video.

  2.  Paste the video URL into the box (right-click and select Paste, or press Ctrl+V).

  3. Click Save.

For Microsoft Stream:

 Click Hyperlink Manager.

  1. Paste the Microsoft Stream URL into the URL box.

  2.  Enter the video name in the Link Text box.

  3. Set the Target dropdown to Browser Window.

  4. Click OK.

Click Finish

The video title will appear as a hyperlink that opens the video for learners.


Method 3: Audio/Visual Training Item

Use this method to reference learning content delivered outside of Frontline — such as audio, video, or DVD media from an external source.

  1. Go to Curriculum > Training Item and create an Audio/Visual-type training item.
  2. In the Special Instructions field, explain where the content can be accessed (e.g., an off-site training seminar) and how learners can sign up.

Important: Completion records for this training item type must be entered manually once learners provide evidence of completion, such as a certificate from the training provider.
