Permissions control users' access permission to various Frontline functions.
Below are the guidelines for LMS permissions
- Permissions must be granted by another administrator with LMS Admin Permissions (company, division or account).
- Permissions allow primarily administration and reporting tasks such as managing people, their curriculums, and training data that is displayed within reports.
- Permissions grant access permission to users by allowing them to see and use the applicable system menu items on the left hand side of the Frontline Desktop.
- Permission(s) also determine who can create or edit new training content in Frontline, or who receives e-mails about due or overdue training.
- Permissions for the LMS module are classified into two categories: Module Permissions and Organizational (Company, Division, and Account) Permissions.
- Company level permissions are higher than the division level. So if you grant an administrator access to a company, that administrator will automatically have access to ALL information within ALL divisions of that company.
You do not need to grant separate division level access to a division within that company, unless you want that administrator to have quick access to data within a particular division of that company.
Additionally, division level access automatically grants access to all data within accounts of that division.- When you add any of the below account, division or company level permissions to a user's profile, the user is granted access to the corresponding default account, division or company.
Example: Account report permission added to a user's profile grants the user reporting permissions to the user's default account.
- Permissions also determine who receives due or overdue e-mail notifications about training. As learner and supervisor report permission are granted automatically, you do not need to do anything special to send these people e-mails about training.
If you want department managers to receive e-mails about overdue training, you should grant them the account report permission. Similarly, if you want a site manager to receive e-mails about overdue training for the entire site, you should grant that person the division report permission.
Below are the permissions and rules that apply to all users:
- Learner: Learners use the Frontline desktop to view and complete their assigned training. They can also check their curriculum and run personal training reports such as training records and assignments, available in Quick Links section of the desktop.
- View Company Libraries: Allows a person to browse company training content library. Granted automatically to all learners in Frontline.
- View Public Libraries: Allows a person to browse Frontline training content library. Granted automatically to all learners in Frontline.
- Every user in Frontline must belong to at least one company, one division and one account.
- These are called the user's default company, default division and default account, and must be selected whenever a new user is added to Frontline.
Below are the guidelines for Module Permissions
The Module Menus will only display the menu items for which a person has been granted permissions and organization level permissions.
For example, if a person only has the account report permission, the system menu will only show reports in the menu, and will only show data within that account when the person runs a report.
- Supervisor Report: Allows a person to create and run various training and curriculum reports for the people reporting to them. People Information page allows you to see Supervisor Level Reports. Supervisors also receive e-mail notifications for their employees' overdue training. This system code is granted automatically to anyone selected as primary supervisor or secondary supervisor of a learner.
- Supervisor Admin: Allows a person to administer training for the people reporting to them. Key tasks supervisor admins perform are managing curriculums for their employees, and adding/updating their training records. This is not a commonly used system code; a division admin can conduct such tasks more efficiently.
- Account Report: Allows a person to create and run training and curriculum reports for the accounts (departments) assigned to them.
- Account Admin: Allows a person to administer training and curriculums for learners in the accounts assigned to them. The key tasks account admins perform are setting up curriculums for learners in their accounts, setting up classes, and adding / updating their training records.
- Division Report: Allows a person to create and run training and curriculum reports for the divisions assigned to them. The report data includes all accounts within those divisions.
- Division Admin: Allows a person to administer training and curriculums for the divisions assigned to them. In addition to performing all tasks that an account admin can perform, a division admin can add new accounts, add or move learners, add or edit Curriculum Items, add Class Resources, and set up E-mail Notification Configurations.
- Company Report: Allows a person to create and run training and curriculum reports for the companies assigned to them. The data includes all divisions and accounts that are part of those companies.
- Company Admin: Allows a person to administer training and curriculums for the companies assigned to them. A company admin can perform all the functions that a division admin can.
- Additionally, a company admin can create new divisions, accounts, system codes and status codes.
- Division Author: Allows a person to create and edit training content, surveys, assessments and tests in their assigned divisions.
- Company Author: Allows a person to create and edit training content, surveys, assessments and tests in any division of their assigned company. They can also view or edit training content created by any division author in their company.
- Allow Editing Public Items: Allows a person to edit public or shared items, such as lessons created by other authors. This system code can be granted only by a company admin, and is useful in cases where the original author is no longer with your company.
If you grant overlapping access without thinking about the hierarchy company > division > account, it unnecessarily increases the number of steps (mouse-clicks) for an administrator to access certain data.
A person is automatically granted the supervisor report permission when selected as supervisor of a learner. An admin can then grant this person additional permission of supervisor admin, to allow the supervisor to add records and edit the curriculums of people reporting to the supervisor (not a common practice).
Below are the guidelines for Organizational Permissions
Organizational permissions must be used together to provide users with the appropriate level of access. Upon granting (company, division or account) Admin, Author or Report permissions, the system automatically grants LMS Admin and/or LMS Report permissions for the user's default division. description of each.
- LMS Admin: Granted at organization (company, division, or account) level for LMS Module access. This permission is automatically granted at the division level when the Author or Admin module permission is given.
- LMS Report: Granted at organization (company, division, or account) level for LMS Module access. This permission is automatically granted at the division level when the Report module permission is given.
If a person has admin and report access at multiple levels and for multiple companies, divisions or accounts, the person must select the level and the unit to see the corresponding data on the right. Such a person is allowed to designate a preferred level and the preferred company, division or account at which the person would typically prefer to operate.
