Events Overview

Our Action Tracking (ACT) module is a feature-rich web-based Event and Action Item tracking and management software that allows you to track process and operation events and action items in your organization.

Events such as incidents, accidents, near-misses, audits, inspections, self-assessments, PHAs, customer complaints, meetings, etc, can be documented, along with follow-up action items that can be assigned and tracked to completion.

To document events, the application allows you to create custom reusable online event forms that can then be routed to people in your organization for investigation, comments, approvals and development of corrective and preventive action items. Online forms can be attached to selected action items also to facilitate effective analysis and implementation. The event is closed out when all attached action items are completed, and people can be notified about the event.

Action items from events are assigned to people or roles (job titles) with e-mail reminders; assignees can enter progress, complete any attached form (checklist), transfer to others, attach documentary evidence, send to verifier, or close it out. The event can be closed out when all attached action items are closed out. Lastly, users can be notified \ about the completed event, and can be required to review the event summary and sign off.



Event Key Features

Events have the features listed and described below to systematize tracking and administration.

  • Category: Events can be categorized for tracking, reporting and overall ACT management. Categories can be created that can be used by originators in the entire company. Examples of categories include safety, environmental and industrial hygiene.
  • Event Form: The ACT module has a few basic event fields (such as event title, priority and date drafted) programmed into the application. However, any special event details (such as date and time of the event, people/equipment/material affected and root cause) must be documented by attaching event to a custom event form created using the built-in event form designer. For many simple events, the custom event form may contain none to just a few data entry fields. The attached event form also represents a type of event within a selected category, such as a near-miss, an incident, or an audit in safety category.
Example: A custom near-miss form in the safety category could be used to create all safety near-miss events. Similarly, the customer complaint form in the quality category could be used to document all product quality customer complaints. The ACT module also includes the standard action item fields (such as action item title, assigned to and date assigned) for any event
  • Event Number: Automatically generated using category, event form name, Ref Code, division ID, year created, and sequential number. Uniquely identifies an event in the entire ACT database for a company.
  • Event Priority: A custom priority system can be created that matches the current priority convention for events.

    Examples: High, medium, low, or 1, 2, 3, 4, 5. Priority is an important field for tracking importance of events.

    • Event Form Defaults: Power users can pre-designate default collaborators, default approvers and default action items for an event form. This ensures certain event types (near-misses, incidents, etc.) are always collaborated on, and approved by predesignated people and contain certain mandatory action items.
    • Event Shortcuts: Power users can place a shortcut to any event form on selected people's user desktops, as discussed above. This makes it very convenient for users to report events using the shortcuts provided on their desktops. This feature is commonly used for events such as incidents, near-misses and employee suggestions.
