Implementation

The Implementation stage is an optional stage for any Event. During the Implementation stage, action items are assigned to selected jobs or individuals to complete in response to the Event.

Below are the guidelines for the Implementation Stage:

  • If there are no action items in the Implementation stage, and the Team Leader attempts to move the Event into this stage, they will be presented with a warning. 
Once the Team Leader confirms the move to the implementation stage from the warning, the Event will show up on their desktop ready for close-out. 
  • Action items in the implementation tab can be completed during the Approval or new stages.
  • Action items not completed during the Approval or new stages will be assigned to users (or jobs) during the implementation stage.
  • Once all of the action items have been completed, the Event is assigned to the Team Leader to complete (close-out).
  • When action items are assigned simultaneously using default order of 1, each action item's due date is the date Event was approved (or workflow started, if there are no Approvers) plus its days to complete.
  • When action items are assigned a sequential or mixed order, the due date of the first action item is calculated as above. The due dates of the subsequent action items are calculated by adding their days to complete to the date completed of the previous action items.
  • Event Implementation consists of two steps:
    1. If the Event has any incomplete action items, these are assigned and completed.
    2. When all action items are completed, or if the Event did not have any action items, or if all action items were completed during new or Approval stages, Event is assigned to the Team Leader to completed (closed out).
      1. Note: The Send Event Notices feature can be used to notify anyone impacted by the Event and can only be sent out once per Event. Anyone sent an Event notice will be required to review the Event summary and acknowledge the Event by signing-off from their Frontline Desktop Training tab. This feature is useful to help people learn from the Event or to communicate complete Events such as audits or deficiencies found.

How to Start the Implementation Stage

The instructions below provide detailed steps on how to start the Implementation stage.

  1. The Team Leader will select the Event Title from the Events tab on their desktop.
  2. Select the Start Implementation button.
This will place all action items with an order of 1 on the assignees desktop(s).

How to add Action Items to an Event

Below are instructions on how Administrators with ACT User or Higher permissions can add Action Items to an Event. Typically, this is not needed, as these default tasks would have been added via the configuration of the Event form used. 

  1. Select ACT > Events > In Process > Select desired Event
  2. Select the Action Items tab
  3. Select New
  4. Select PHA or General
    1. You can also select Import to upload up to 500 action items at a time. 
  5. Fill out the required fields for your action item at minimum.
  6. Fill out any optional fields for your action item if desired.

  7. Click Save.

How to Complete an Event Action Item

The instructions below provide detailed steps on how to complete an Event action item.

  1. Select the Action item Title from the Action Items tab on the desktop.
  2. Select Complete Now.
  3. If there is a form attached to the task, select the form title in Blue.
    1. You must complete all red asterisk fields to close out the action item.
  4. To add an attachment, select Choose File and browse for a file. If the Require Attachment checkbox was selected for the action item, the assignee will not be able to complete their task without adding an attachment.
  5. To review any previous progress made for the action item, select History.
  6. Select one of the following options to for the action item:
    1. Enter Progress: Allows user to enter progress or notes on the task and the task will remain on the users desktop for later completion.
    2. Transfer To: Allows user to select a person to transfer the task.
    3. Complete: Allows user to complete the task and the task will be removed from the users desktop.
    4. Complete and Send to Verifier for Verification: This option is only displayed if a verifier has been selected in the Action Item Details form.
  7. Once an option has been selected and comments have been entered, select OK.

How to Complete a Create MOC Event Action Item

The instructions below provide detailed steps on how to complete an Event action item that has been configured with the Create MOC option selected in the Action Item Details.

  1. Select the Action item Title from the Action Items tab on the desktop.
    1. Note: The Event details display with a View Event Summary button, Complete Now link, and a table listing all collaborators for the Event.
    2. Note: The source field will display the Event title the action item is associated with.
  2. Select Complete Now.
  3. Select Create MOC in the Requirement section.
    1. Note: All required fields (note by red asterisk) must be filled out.
  4. Select Save in the MOC Information window.
    1. Note: An MOC has been created in the MOC > In Process folder and the MOC Information window closes.
  5. To add an attachment, select Choose File and browse for a file.
    1. Note: To save time, multiple attachments can be added by dragging and dropping or selecting multiple attachments and select Save. 
  6. To review any previous progress made for the action item, select History.
  7. Select one of the following options to for the action item:
    1. Enter Progress: Allows user to enter progress or notes on the task and the task will remain on the users desktop for later completion.
    2. Transfer To: Allows user to select a person to transfer the task.
    3. Complete: Allows user to complete the task and the task will be removed from the users desktop.
    4. Complete and Send to Verifier for Verification: This option is only displayed if a verifier has been selected in the Action Item Details form.
  8. Once an option has been selected and comments have been entered, select OK.
    1. Note: If the action item was configured with "Action item to remain open until MOC is closed out" option, the Complete option will not be available to select. The message "This action item will be automatically completed when the MOC has been closed out." will display
