The Approval stage is an optional stage for any Event. During the Approval stage, Approvers review the Event form and Collaboration comments, if any, to determine if the Event should be approved or disapproved.
The Send Event Notices feature can be used to notify anyone impacted by the Event and can only be sent out once per Event. Anyone sent an Event notice will be required to review the Event summary and acknowledge the Event by signing-off from their Frontline Desktop Training tab.
This feature is useful to help people learn from the Event or to communicate complete Events such as audits or deficiencies found.
Below are the guidelines for the Approval Stage:
- If there are no Approvers, the Event will move into the Implementation stage.
- When Approvers are assigned in parallel, all Approvers in parallel must approve the Event before it moves to the next Approver(s).
- When an Approver is a job, instead of an individual, any user assigned to the job can approve the Event before it moves to the next Approver(s).
- Any Approver can add action items via the Event Summary.
- While viewing the Event Summary, select Add Action Item.
- Complete the Action Item Details form and select Save.
- Any unassigned action items must be assigned before an Approver is allowed to approve an Event.
- If an Event is disapproved, the Event and associated action items are moved to the ACT > Events > Voided folder to be reviewed and possibly resubmitted at a later date.
- The Team Leader is automatically added as the final Approver for the Event and can edit any Approver’s action items.
This parameter can be turned off for the entire Company, not per Division, by requesting the change from your Frontline support representative.
How to Start the Approval Stage
- The Team Leader can select the Event Title from the Event tab on the Desktop.
- Recommended: Select View Event Summary to review the Event.
- After reviewing the Event Summary, make any final changes to the Event before completing the Approval task.
- Select the Start Approval button.
- All Approvers with an order of 1 will see their approval tasks on their desktops.
After the Event has been approved, the ability to make changes to the Event is limited.
How to Add an Approver to an Event
Below are instructions on how Administrators with ACT User or Higher permissions can add Approval tasks to an Event in the In Process folder.
Typically, this is not needed, as these default tasks would have been added via the configuration of the Event form used.
- Select ACT > Events > In Process > Select desired Event
- Select the Approval tab
- Select New
- The new option will appear for all users with the PowerUser permission. For users with the ACT User permission, it will only appear if they are the Originator or Team Leader.
- Search for the users either by entering a few characters of their name and clicking search or by clicking search with no characters to view all users.
- Select the Checkbox(s) beside the desired usernames.
- Change the default days to Approve if desired.
- Click Save.
How to Complete an Approval Task
- Select the Event Title from the Events tab located on the Desktop.
- Recommended: Select View Event Summary and review the summary carefully before completing task.
- The Event Summary will display the Event details and configurations. Select any attachment links to view information relevant to the assigned Approval task.
- Select Take Action
- After reviewing Event, select one of the following options for the Approval task.
- Approve: To approve of the Event and send it to the next Approver(s) or implementation stage.
- Disapprove: To disapprove of the Event and send it to the Events > Voided folder. If this option is selected, comments for disapproval are required.

- Pending: To put the Event essentially on hold.
- For example, if the Approver is waiting on additional information from other individuals, they can add those comments to show the Event is not being held up by them. Once they have the additional information, they can return to and close out their Approval task.
- Pending: To put the Event essentially on hold.
- Once an option has been selected, select OK.
- The Event will no longer be listed under the Events tab. If this was the only Event task assigned to the user, the Events tab will no longer be displayed on the Frontline Desktop.
